Grants Project
The Grants Project is an implementation of a new PeopleSoft Grants Management System (within Shared Financials) that will allow a much closer integration with current and planned PeopleSoft components, including Effort Certification. While not a new service, it will be a new and perhaps more challenging requirement.
With Grants, PI's and Researchers will be able to access a list of all of their reports with one click using web-based reports that provide award-level data, a quick view of all projects, access to terms and conditions, invoices, and more. A new web-based routing form will save time because routing will be done electronically. Also, the form can be re-used to minimize re-entry of data. Award Notices will also now be sent via email under this system, replacing the paper "Regent Notices.”
The new system is not without its challenges. Project number formats will change. New project numbers will be seven digits in the format PRJ##AA. Gifts will transition to new fund 233. And both mandatory and voluntary Cost Share will be tracked and reported.Who will use it?

Goals
- Manage System Risk – Protect research-related data and associated revenue stream by transitioning from legacy system technology.
- Share Data – Provide information to key university systems and constituencies, at the Madison campus and throughout the UW System.
- Implement Grants Management System – Implement a system the Office of Research and Sponsored Programs can use to capture critical data elements for tracking and reporting on research activity.
- Reduce redundant data entry and manual processes and enable more efficient communication, collaboration, and integration of processes between RSP, compliance committees and the research community.
- Manage Billing and Accounts Receivable – Gain ability to actively manage revenue, unbilled and billed cash balances real-time .
- Replace aging data systems – Reduce reliance on systems that are based on outmoded hardware and software platforms.
